Add a send-as address to your Gmail account

In February 2021, Google announced it would be phasing out the unlimited and free storage allocation previously available to schools and universities that use Google Drive. Instead, it will offer a base amount of storage for a fixed fee and a charge for additional storage. An initiative is underway to support the university’s transformation to a new Google service. 

Here’s how to add a send-as address to your Gmail account:

Important Note: The method for adding a send-as address depends on whether it’s another Gmail address you own or an address from a different email provider.

Adding another Gmail address you own (Google Workspace account):

  1. Open Gmail on your web browser.
  2. Click on the Settings gear icon in the top right corner and select “See all settings” from the dropdown menu.
  3. Click on the “Accounts and Import” or “Accounts” tab (depending on your Gmail version).
  4. In the “Send mail as” section, click “Add another email address.”
  5. A pop-up window will appear. Enter the name you want recipients to see when you send emails from this address.
  6. In the “Email address” field, enter the full email address of the additional Gmail address you want to send from (e.g., [email address removed]). Treat as alias: This option is usually checked by default. It means that replies to emails sent from this address will be delivered to your main Gmail inbox.
  7. Click “Next Step.”
  8. Google will need to verify that you have access to the new email address. You’ll receive a verification email at that address.
  9. Open the verification email and click the link to confirm ownership.
  10. Once confirmed, you’ll be able to choose the newly added address when composing emails.

Adding an address from a different email provider:

  1. Generate an App Password: You’ll need to create an app password for your non-Gmail email account. This password will be used by Gmail to connect to the external server.
    • Go to your account management page for your non-Gmail email provider (e.g., Yahoo Mail settings, Outlook account settings).
    • Look for a section on app passwords or two-factor authentication.
    • Generate an app password specifically for “Mail” or “IMAP/POP.”
  2. Follow steps 1-3 from the previous method (adding another Gmail address).
  3. In the “Email address” field, enter the full email address of the external account you want to send from.
  4. Uncheck “Treat as alias” (optional). This is important because replies to emails sent from this address might not be delivered to your main Gmail inbox if it’s unchecked.
  5. Click “Next Step.”
  6. In the “SMTP Server” field, enter the outgoing mail server (SMTP) address for your non-Gmail email provider. You can usually find this information in your email provider’s support documentation. (e.g., [invalid URL removed] for Yahoo Mail)
  7. In the “Port” field, enter the port number for the outgoing mail server. This is typically 465 for secure connections (SSL/TLS) or 587 for non-secure connections.
  8. In the “Username” field, enter the full email address of the external account.
  9. In the “Password” field, enter the app password you generated in step 1.
  10. Select “Secured connection using SSL/TLS”.
  11. Click “Add Account.”

Important Notes:

  • Adding a non-Gmail address might require additional configuration or troubleshooting depending on your email provider.
  • Some email providers might have limitations on sending emails through external services like Gmail. Check your provider’s documentation for any restrictions.
  • It’s always recommended to use a secure connection (SSL/TLS) when adding any email account.
