Send and open confidential emails

In February 2021, Google announced it would be phasing out the unlimited and free storage allocation previously available to schools and universities that use Google Drive. Instead, it will offer a base amount of storage for a fixed fee and a charge for additional storage. An initiative is underway to support the university’s transformation to a new Google service. 

Gmail offers a feature called confidential mode to help you send emails with an extra layer of security. Here’s how to use it:

Sending a Confidential Email:

  1. Compose a new email in Gmail.

  2. Click on the lock icon located at the bottom right corner of the compose window. (This icon might be hidden behind a dropdown menu with three dots depending on your Gmail interface.)

  3. A pop-up window will appear with confidential mode options. You can choose:

    • Expiration date: Set a timeframe (from 1 day to 5 years) after which the recipient will no longer be able to access the email.
    • SMS passcode: Require the recipient to enter a passcode received via SMS to open the email. (Optional)
  4. Once you’ve set your preferences, click Save.

  5. Compose your email and attach any files as usual.

  6. Click Send.

The recipient will receive an email:

  • The email content and attachments will be inaccessible until they enter the passcode (if you chose SMS passcode) or access the email before the expiration date.
  • Recipients will see a message indicating the email is in confidential mode and outlining any restrictions (e.g., expiration date, no forwarding).

Opening a Confidential Email:

  1. The recipient will receive an email notification with a link to access the confidential email.

  2. If SMS passcode is enabled, they will also receive a separate SMS message with a passcode.

  3. Clicking the link in the email notification will open a web page where the recipient needs to:

    • Enter the passcode (if applicable).
    • Agree not to forward, copy, print, or download the email content.
  4. Once these steps are completed, the recipient can view the confidential email content and attachments.

Important Notes:

  • Confidential mode helps prevent accidental sharing but doesn’t guarantee complete security. Recipients can still take screenshots or photos of the email content.
  • Confidential mode is currently only available for Gmail users sending to other Gmail users. Recipients who don’t use Gmail will receive instructions to access the email through a web browser.
  • You can’t revoke access to a confidential email once it’s been sent.

For highly sensitive information, consider alternative methods beyond confidential mode:

  • Encryption services: Explore third-party services that offer end-to-end encryption for emails, ensuring only the sender and recipient can access the content.
  • Secure file sharing platforms: Utilize platforms designed for secure file sharing, allowing controlled access and download permissions for sensitive documents.

By understanding the limitations and functionalities of confidential mode, you can decide if it’s suitable for your email needs.
