Use Smart Reply

In February 2021, Google announced it would be phasing out the unlimited and free storage allocation previously available to schools and universities that use Google Drive. Instead, it will offer a base amount of storage for a fixed fee and a charge for additional storage. An initiative is underway to support the university’s transformation to a new Google service. 

Smart Reply is a handy feature in Gmail that helps you respond to emails quickly and efficiently. Here’s how to use it:

On Desktop:

  1. Open an email in your Gmail inbox.
  2. Look below the email content. You’ll see suggested short responses displayed if Smart Reply is enabled for your account.
  • These suggestions might be short phrases like “Thanks!”, “Sounds good!”, or more specific responses tailored to the content of the email.
  1. Click on the most suitable response to automatically populate the reply box with that text.
  2. You can edit the suggested response before sending it or simply click Send if it perfectly conveys your message.

On Mobile:

  1. Open an email in the Gmail app.
  2. Swipe right on the email content. (On some devices, you might need to tap and hold on the email content to reveal the swipe option.)
  • Swiping right will display suggested Smart Replies similar to the desktop version.
  1. Tap the most suitable response to populate the reply box.
  2. You can edit the response or directly tap the send button to dispatch it.

Additional Tips:

  • Smart Reply learns from your past email behavior and communication style, offering increasingly relevant suggestions over time.
  • You can disable Smart Reply if you prefer to compose all responses manually. Go to Settings > See all settings > Advanced and toggle “Smart Reply” off.
  • Smart Reply is currently available in various languages. You can check if it’s supported in your preferred language by going to Settings > See all settings > General and looking for the “Smart Reply language” option.

By utilizing Smart Reply for quick responses and routine email exchanges, you can save time and streamline your email communication workflow.
